Assigning roles and permissions (MyStudio)


In MyStudio, every user is assigned a role that determines what they can see and do on the platform.

Admins can change roles at any time to give users more (or fewer) permissions.



Available Roles


  • Learner
  • Default role for students.
  • Can access only the courses and playlists assigned to them.
  • Cannot edit, create, or manage content.


  • Instructor
  • Can create, edit, and manage courses.
  • Can view reports related to their own courses.
  • Cannot manage users or groups.


  • Admin
  • Has full access to MyStudio.
  • Can create/manage courses, playlists, users, groups, and settings.
  • Can assign roles to others.



How to Assign or Change a User’s Role


  1. From the left-hand menu, go to Users & Groups → Users.
  2. Find the user you want to update.
  3. Click the Edit option next to their name.
  4. In the Role dropdown, select Learner, Instructor, or Admin.
  5. Save changes.
  6. The user’s permissions update immediately.



Example Use Cases


  • A new student joins → assign them as a Learner.
  • A faculty member needs to build a course → assign them as an Instructor.
  • A department head requires oversight of everything → assign them as an Admin.



Best Practices


  • Assign Admin access only to trusted staff, as this role has full permissions.
  • Use the Instructor role for faculty and trainers who need to author courses but not manage users.
  • Keep most users as Learners to prevent accidental changes.
